Salary Range: $80,000 - $98,000

Job Summary:
Under the general direction of the Chief Executive Officer (CEO) and in coordination with the Deputy Director of Administration and Organizational Effectiveness, the Finance Manager assumes full-charge responsibility of all AP/AR, Payroll, Financial Controls such as budgets and reporting. The Finance Manager establishes and maintains policies, procedures, structure, staffing, as well as training and mentoring the finance and accounting staff. This role is an integral part of the Admin Team and works closely with colleagues throughout the organization and outside vendors. The Finance Manager will be a strategic thought-partner to the Executive Team. The successful candidate will be a hands-on and participative manager and will support finance, business planning, nonprofit financial compliance, grant reporting and budgeting.
The Finance Manager will manage and perform various day-to-day accounting activities ensuring compliance and accuracy with accounting policies and procedures; implement and maintain accounting systems; compile, analyze and report accounting data for decision making purposes; and act as primary liaison with outside auditors and government agencies on contract issues.
RESPONSIBILITIES:
OPERATIONAL RESPONSIBILITIES:
Planning, directing and coordinating all accounting operational functions
Timely, accurate and efficient accounting to reconcile, report and close on a monthly basis
Managing accounting functions on a day to day basis, including invoicing, accounts receivable, accounts payable, semi-monthly payroll
Process semi-monthly payroll ensuring accurate and timely pay and any necessary corrections in partnership with Director of Human Resources
Reconcile payroll benefits, grant allocation and pay rates within the Personnel Pay Ending (PPE) workbook and submit to FASS
Maintain and update Payroll Calendar annually
Allocate M&G expense allocation and submit to FASS for recording
Research and resolve staff and Vendor related problems
Reconcile grant IDs IAW MOUs and annual budget
Prepare and process manual checks as required
Negotiate annual Health Benefits contracts, making recommendations to the CEO and
Board
Supervise expense accounting and timely reconciliation of credit cards and ensure
proper recording to associate grant
Responsible for all areas of the payment processing cycle while ensuring timeliness and
accuracy; Managing all payment issues including bank discrepancies and outstanding
check matters. Ensuring proper payment documentation is maintained for all payment
and check requests
Closely monitor bank balances to ensure adequate funds are available for payroll and
accounts payable; responsible for timely and clear requests for funds transfers, as
needed
Assist the CEO with preparation and completion of the fiscal year budgeting process
including evaluation each business unit performance against budget monthly and
annually
Develop forecasts to provide an accurate projection of financial performance and grant
spend down
Ensure Compliance with and detailed reporting of any designated funds
Serves as the primary contact for all grant invoices, receivables, and reporting
Reconcile financial activities to capture key data and processes in order to demonstrate
the relationship between YA’s goals and resulting fundraising needs
Reconciles invoices with FASS monthly in accordance with grant contracts in a timely and
accurate manner
FINANCIAL REPORTING:
Prepare monthly financial reporting package to present to The Board of Directors
Coordinate preparing internal and external financial statements monthly, quarterly and annual and ad hoc.
Draft and oversee expense reclassifications, adjustments and provide reconciliation oversight with FASS
Prepare monthly grant/program budget reports and financial reports for contract compliance
Play an integral part in preparing the annual budgets and ensuring that the F&A Department is audit ready.
OTHER:
Managing preparation of regulatory filings and remaining current and educated on all aspects of non-profit accounting, actively seeking outside resources as indicated
Ensure permits and licenses are renewed annually
Establishing and implementing short and long-range finance and accounting department goals, objectives, policies and procedures
Managing projects and initiatives as assigned
Assessing and recommending professional development needs and opportunities for the finance and accounting staff
Providing management with information vital to the decision-making process
Consistently assessing current accounting operations, offering recommendations for improvement and leading the implementation of new processes
Consistently evaluating accounting and internal control systems
Evaluating the effectiveness of accounting software and supporting database, as needed
Hiring, training, and retaining skilled accounting staff
Employment Standards:
Training and Experience:
Minimum 7 years of experience managing budgeting, forecasting, and related financial routines
3 or more supervisory experience preferred
Bachelor’s Degree with accounting as a major field of study and at least four years of progressively responsible related experience is preferred.
A strong preference for someone who has operated in a fast growing environment that has limited budgets and resources.

A valid CA driver’s license, current car insurance, and a good driving record as recommended by a DMV report

Strong computer skills, including deep expertise in Microsoft Excel, Google Suite, and various finance management systems such as Blackbaud, MIP Fund Accounting, QBO, etc.
